We are looking for an Junior Administration Specialist to join our Back office team. You will work closely with Senior Administration Specialist and various departments to ensure the smooth operation of the company. The ideal candidate is analytical, well-organized, and confident in managing and owning administrative processes.

We are looking for someone who is already active on the job market, a recent graduate, or a final-year student. We are open to discussing a starting employment model of 3/4 or 4/5 of a full-time position.

Responsibilities:

  • Issuing invoices
  • Monitoring payments and performing reconciliations
  • Collaborating with the accounting/payroll office and external legal partners
  • Archiving company documents and ensuring efficient document flow
  • Assisting in the preparation of employment contracts
  • Supporting payroll processes
  • Managing employee benefits
  • Coordinating employee surveys
  • Arranging business travel for employees
  • Supporting the Senior Administration Specialist in daily tasks
  • Coordinating office operations, including ordering groceries and office supplies, operating office equipment, and overseeing company inventory
  • Providing organizational and administrative support to management and employees

Required skills & qualifications

  • Proficiency in Microsoft Office (especially Excel)
  • English language skills at a minimum of B2 level
  • Excellent organizational, teamwork, and communication skills
  • High level of conscientiousness and attention to detail
  • Ability to follow structured processes and guidelines
  • Strong analytical thinking skills

Preferred skills & qualifications

  • Strong process automation skills
  • Experience supporting or administering limited liability companies (LLCs)
